About the role

We are seeking a skilled and experienced Admin Cum Personal Assistant to join our team at TINKER STUDIO SDN. BHD. at Taman Desa. This full-time role will provide comprehensive administrative and personal support to our executives, ensuring the smooth running of our daily operations.

What you'll be doing

• Act as the personal assistant for the CEO
• Manage and organize schedules, appointments, and meetings for the executive team/manager/individual.
• Handle correspondence, emails, phone calls, and other forms of communication.
• Draft, format, and proofread documents, reports, presentations, and other materials as needed.
• Maintain filing systems, databases, and records and follow up pending response from clients.
• Provide personal support, including managing personal appointments, handling personal correspondence, and coordinating personal tasks and errands.
• Serve as a liaison between the executive team/manager/individual and other staff members, clients, suppliers, and stakeholders.
• Assist in setting up and organizing events, meetings, and other activities.
• Provide support to other departments as needed, ensuring smooth operations across the company
• Assist in the planning, coordination, and execution of projects and initiatives.
• Conduct research, gather data, and prepare reports or presentations for projects.
• Assists Finance Team and Account Manager to prepare payment voucher, invoice, price quotation, etc.
• Planning on purchase items like stationeries, pantry stocks, snack, company T-shirts and monitor the moment.
• In charge person of company safety and cleanliness. Make sure all employees follow the SOP of the company
• Handle any other tasks or responsibilities as assigned by the employer.

What we're looking for

• Minimum 3 years of experience in an administrative or personal assistant role, preferably in a fast-paced, corporate environment
• Excellent organizational, multitasking, and time management skills
• Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels
• Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook)
• Proactive, detail-oriented, and able to work independently with minimal supervision
• Ability to maintain confidentiality and exercise discretion when handling sensitive information

Responsibilities:

• • Provide support in all aspects of human resource and administrative functions
  • Staff recruitment - Liaise with recruitment agencies, online job portals and internal department heads on recruitment needs
  • Screen job applicants and arrange interview appointments with the hiring managers
  • Responsible for timely payroll processing and related reports for submission to relevant government authorities such as EPF, Socso, LHDN, etc.
  • Staff on-board procedure such as personal supporting documents, assign company email, access card, assign work station, brief of company policies, new staff orientation etc.
  • Monitor and process timely on staff confirmation, contract renewal, promotion, salary adjustment, appraisal etc.
  • Maintains human resource information system records and compiles reports from the database.
  • Update and maintain employee data/personal files (hard & soft copy) in system based on employee actual data and document.
  • Responsible in administrative matters.
  • Any ad-hoc assignment assigned from time to time.

Requirements:

• • Diploma/Degree in Human Resource/Business Administration or related field
  • At least 3 years relevant working experience
  • Good knowledge of employment laws and regulations
  • Proficient in English, Bahasa Malaysia, and Chinese both written and spoken
  • Able to work with minimum supervision
  • Strong communication and leadership skills

工作經驗要求：

• 熟悉並了解品質管理體系，例如 ISO 9001。

• 優秀的人際交往和溝通能力以及高水準的電腦素養。

教育背景要求：

• 文憑、學位或同等學歷優先；或 3 年以上品質相關經驗或相關訓練；或同等的教育和經驗組合。

RESPONSIBILITIES

• Provide assistance and support for the Company Secretary. 
• Assist in preparing and reviewing company documents alongside data-entry.
• Ensure the timely delivery of all documents in compliance to relevant acts, policies and guidelines. 
• Assist in organizing and maintaining files for efficient access and retrieval of information. 

REQUIREMENTS

• Currently pursuing a Diploma, Advanced Diploma, Bachelor’s Degree or Professional Dress in Corporate/Business Administration or its equivalent.
• Able to commit to a minimum of 3-months to the internship program.
• Proficient in English and Bahasa Malaysia (Chinese will be an added advantage.)
• Computer proficiency and ability to utilize MS Office (E.g. Word, Excel, Powerpoint)
• Possesses excellent communication and problem-solving skills.
